Here you find the privacy protocol of Future Insight. It describes how your personal data collected by Future Insight is handled.


How we handle company data and personal data


00. Introduction
In this privacy statement you can read all about how your personal data is collected and handled. It explains where your data is stored and for what purposes your data is stored. You will also find your rights regarding your data and how you can exercise these rights. The privacy statement will sometimes be amended due to changes in the law, for example. It is therefore advisable to consult the declaration periodically.

 

01. Future Insight

This is the privacy protocol of Future Insight. Personal data is shared with us when you become a customer with us, contact us, create an account in one of our SaaS solutions, or register for an event we organize or a newsletter we send out. In doing so, we process data such as a name, phone number or email address. This is data that can be associated with a person.

 

We consider it important to handle personal data with care. Personal data is therefore carefully processed and secured by us. We comply with privacy legislation.

 

02. Type of personal data
In case of contact with Future Insight certain data may be exchanged. These data can be personal data. Below we list all possible personal data that we process. We do not always process them all, this depends on the type of relationship, the service involved and the permission we have. 

  • name

  • company data

  • email address

  • technical measurement data of the equipment such as IP address, operating system characteristics and browser.

  • phone number

  • other personal information that is sent via email and we record for answering questions or handling complaints.
     

03. Why do we store personal data?
We process the above data for one or more of the following purposes (also depending on which services or functionalities are used):

  • fulfilling legal obligations, this may be because it has to for tax, regulatory or other requirements.

  • executing an agreement to provide one of our SaaS solutions.

  • dealing with notifications that come to us. These may include questions, requests, bugs, compliments or complaints.

  • sending newsletters with updates about our company, our products or services.

  • Keeping our SaaS solutions working properly.

  • improving and making our SaaS solutions more findable.

 

Personal data is kept for as long as it is needed for the purposes described and is then securely deleted. We only collect data necessary for our services. No automated decision-making or profiling takes place based on personal data.

 

04. Disclosure to third parties.
When we provide personal data to a third party, we ensure among other things. (with a processing agreement) that data is not used for purposes other than those agreed upon. In the general terms and conditions we set requirements about security and management of personal data. We also agree herein that personal data will be deleted as soon as they are no longer needed. It is important to note here that we do not provide the personal data provided to other parties, unless this is required or permitted by law.
 

05. Recipients

The data received and processed by Future Insight is managed through: 

Mailchimp 

Updates and newsletters are sent by Mailchimp. If you do not wish to receive these you can unsubscribe. This unsubscribe link can be found at the bottom of each message from Mailchimp.

 

Google 

Future Insight's email is hosted by Google. If you contact us via email, those emails are stored on Google's servers.

 

Google Analytics

Future Insight's website and our web applications collect data to improve the website. This is done with Google Analytics. This data is anonymous and therefore not linked to your personal data. Examples include information about the duration of your website visit or the pages you visit.

 

Hosting and domain name registration

Our websites and the backup of these websites are hosted by various hosting providers. Data that you leave on this website is securely stored on the servers of these hosting providers.

 

The domain registration is handled by various domain registrars.

 

Below is an overview of the domain registrars and hosting providers per website and SaaS solution.

Google Drive

Agreements are stored in Future Insight's secure Google Drive environment.


WIX 

The website www.digitaalecosysteem.nlwww.futureinsight.nl and www.futureinsightevents.nl, are developed with software from Wix.com. Personal data you share with us will be shared with WIX. For more information, read Wix's privacy policy here.

 

Zapier 

Future Insight uses Zapier to connect the newsletter forms on the websites to Mailchimp. In this, the mail address and your name are shared.


e-Bookkeeping

Financial data for billing our services is stored in e-Bookkeeping.

 

Our SaaS solutions
Client data and agreements are stored in our own secure SaaS solutions.


All of the above parties comply with applicable privacy laws and are required to protect data.


06. Data Security.

We take appropriate security measures to limit misuse of and unauthorized access to personal data. To this end, we have an Information Security Policy that complies with the ISO 27001:2013 standard. For example, we ensure that only the necessary persons have access to the data, that access to the data is protected and that our security measures are checked regularly. No physical copies of your personal data are made. Your data is managed only in the aforementioned systems and software. The personal data managed by Future Insight or by previously mentioned third parties can only be accessed through the above mentioned software and are secured with a password and where possible with two-step verification. With this two-step verification, a code is generated from the software and sent to Future Insight. This code should be used during the login process. The devices that access your data are each themselves locked with a password and/or fingerprint. The number of devices that can access your data is limited to only the necessary devices. In addition, your visit to our websites and our SaaS solutions is secured by an SSL certificate. This means that your connection to Future Insight's websites and products is private. You recognize this security by the green lock icon preceding the url.


07. Privacy by design
We attach great importance to the protection of your personal data. Therefore, privacy by design is an essential part of our policy. This means that we already consider and safeguard your privacy when designing our systems and processes.
 

08. Cookies
During your first visit to the Future Insight you will be given the opportunity to set your preferences for cookies. You can choose which types of cookies you allow: no cookies, marketing and functional cookies or all cookies. Future Insight uses only functional and optional analytical cookies. A cookie is a small text file that is stored on your computer, tablet or smartphone when you first visit the Future Insight website. Opting out of cookies is possible by setting the internet browser in such a way that it no longer stores cookies. Stored cookies can be deleted by deleting the browser history.
 

09.  Inspection, correction, amendment or deletion of own personal data

Right of access 

You have the right to ask at any time for access to your personal data recorded and stored by Future Insight. You can do so by sending an e-mail to [email protected] or by contacting Future Insight by telephone. You will then receive an overview of the data known to us about you.

 

Right of rectification 

Are your data incorrect? Or have your data changed? You have the right to have this rectified by Future Insight. You can change your data via the url provided at the bottom of each email. 

 

Right to transfer 

Should you need the data stored by Future Insight in case you switch to another party or service, you have the right to transfer. In this case Future Insight shall transfer all your data to the other party. 

 

Right to delete data 

Do you no longer want your data to be stored at Future Insight? Then you have the right to have your data deleted. 

 

Right to file a complaint 

You have the right to file a complaint with the Dutch Data Protection Authority, if you think Future Insight is not handling your data in the right way. This can be done via this link: https://autoriteitpersoonsgegevens.nl/nl/meldingsformulier-klachten.


Right to stop data use (objection) 

Do you not want Future Insight to use your data? Then you have the right to stop the use of your personal data. You can exercise these rights via [email protected]. Please send a copy of your ID-certificate in which the passport photo, the numbers at the bottom of the passport, ID number and BSN have been made illegible. We strive to respond to your request within one week.  

 

10. Obligations

Future Insight processes personal data on the basis of a legitimate interest, namely a commercial interest. This means that it is explainable why we process personal data. Think of relationship management and offering services or products of Future Insight. Your data will never be sold to third parties. The data that are mandatory to provide are the minimum data required to offer the services or products. For example, your email address is required to share updates about the products through a newsletter. If these mandatory data are not provided, Future Insight cannot offer the service in question. 

 

Future Insight reserves the right to disclose the data when required by law or when Future Insight deems it justified to comply with a legal request/process or to protect the rights, property or safety of Future Insight. In doing so, we always try to respect your right to privacy as much as possible. 

 

11. Data breaches

We take the protection of your personal data very seriously and make every effort to prevent data breaches. Should a data breach nevertheless occur, we will act in accordance with the applicable legal obligations and our internal protocol.
We have taken extensive technical and organizational measures to prevent data breaches, such as:

  • advanced encryption of data

  • regular security updates and checks

  • access to data is limited to authorized individuals
    In the event of a data breach, we will:

  1. identify and analyze the data breach as soon as possible.

  2. if necessary, notify the competent authority (Personal Data Authority) within 72 hours of discovery.

  3. if the data breach poses a high risk to your rights and freedoms, we will inform you immediately, with a clear explanation of what happened and what steps you can take to protect yourself.

After the incident, we will take measures to limit further damage and prevent similar incidents in the future. We will continue to improve our security protocols to protect your data.

 

12. Review and update of this Privacy Protocol
We are committed to processing your personal data in a secure and responsible manner. To ensure this, our privacy policy is regularly reviewed and, where necessary, updated to reflect new laws and regulations, technological developments or changes in our services. We encourage you to check our privacy policy regularly to be aware of any changes.
